Usage Guide
How Yoga Tracker works, step by step: connect a WhatsApp number, track a group, share the board, and keep it running.

Before you start
- You need a WhatsApp number that is a member of your practice group. It can be your own phone or a number kept for the group.
- It must use the regular WhatsApp app, not WhatsApp Business. Business accounts cannot be linked safely.
- Yoga Tracker joins as a linked device, like WhatsApp Web. It only reads the groups you choose to track; it does not post in them. Keep WhatsApp installed and in normal use on the phone: if the phone stays offline for a long time, WhatsApp can unlink its devices.
1. Connect your WhatsApp number
- Open Groups in the left pane and choose Connect WhatsApp (or Connect another number if you already have one).
- Tick This number uses the regular WhatsApp app, not WhatsApp Business.
- Choose how to link it:
- With a code: enter the number, then on the phone open WhatsApp, Settings, Linked devices, Link a device, Link with phone number instead, and type the 8-character code shown here. If it expires, press Get a new code.
- With a QR code: on the phone open Linked devices, Link a device, and scan the code on screen. If it expires, press Refresh QR code.
- The page checks every few seconds and moves on by itself once the number is connected.
2. Choose the group to track
- Once connected you see Select a group to track, listing every group on that number. With many groups, type in the search box (press / to jump there).
- Press Select next to your group and check the Dashboard link we suggest, for example
karur-mandala. Lowercase letters, numbers and hyphens; it cannot be changed later. - Press Start tracking. Counting starts from now; to track another group on the same number, use Track another group on the Groups page.
4. How members check in
Members keep doing what they do today. A message counts as a practice when it says the practice is done:
- It needs a confirmation word or emoji (such as “done”, 🙏, 👍). A plain “good morning” does not count.
- Without a morning or evening word, the time decides: before the Morning cutoff hour (12:00 by default) is morning, after it is evening.
- Announcements, forwards with links or phone numbers, and very long messages are ignored.
- Each member counts once per session per day, however many times they post.
Using polls instead? If your group posts a WhatsApp poll each session (“Did you practise?”), turn on Count poll votes as check-ins in the group's Settings. Any vote counts; the poll title must name the session (for example “Day 3 morning”). Polls posted before tracking started cannot be read.
5. Reading the dashboard
- Each member has a row and each day a cell: the morning half and the evening half fill in as they check in. A lighter shade means the check-in came from a reminder tap rather than a group message.
- Members are ranked by total check-ins, highest first; the top three numbers are highlighted.
- If your group uses teams, a Team column appears before the names.
- The page refreshes itself every 30 seconds; nobody needs to reload it.
6. Practice reminders (optional)
- In the group's Settings, find Practice reminders and press Enable.
- Share the link shown under Share this link with the group. The dashboard also shows a Get reminders button.
- Each member picks their own reminder times. When the reminder arrives they answer in one tap; a Yes logs that session's practice.
- The same card shows subscribers, reminders sent and the Yes rate for the last 7 days.
7. Group settings
Open a group's Settings from the Groups page. Useful fields:
- Morning keywords, Evening keywords, Confirmation keywords: add words your group uses, in any language (for example காலை, மாலை).
- Excluded participants: members who should never be counted, such as a coordinator who only posts announcements.
- Ignore this account's own messages: turn on if the connected number belongs to an organiser who does not practise.
- Timezone and Morning cutoff hour: decide which day and session a message belongs to.
Changes apply to new messages. To apply new keywords to earlier messages, press Reprocess history; it only adds practices, never removes them.
8. Keeping your number connected
- The Groups page shows each number's status. Connected is what you want.
- If a number shows Disconnected (for example after someone removed the linked device on the phone), press Reconnect. Use the same number: groups, dashboard links and history all stay as they are.
- If a number stays down for a while, we email you.
- Do not remove Yoga Tracker under Linked devices on the phone, and do not switch the number to WhatsApp Business.
9. Stopping or removing a group
- Use the trash button next to a group: Move to Trash stops tracking and hides the dashboard, and you can Restore it any time within 30 days. After 30 days it is deleted for good.
- Delete permanently removes the group and all its history at once. To confirm, you type the group's dashboard link name.
Tips and help
- Pick System, Light or Dark with the sun and moon buttons at the top (in the account menu on phones).
- Everything works from the keyboard: Tab moves between controls, Esc closes menus, arrow keys move inside menus, and / jumps to the group search.
- Members can send us feedback from the Send feedback link at the bottom of every dashboard.
